ENROLLMENT PROCEDURE . . .

1  AVAILABILITY
The first step is to check availability at the top of the online brochure for the trip that interests you. Peruse the photo tour schedule page for the full list of trips and click on the destination name to access the online brochure and check place availability.
  If the date under the number of sign-ups is today's or yesterday's date, then the information is current.

2  TERMS AND CONDITIONS
Please read the Terms and Conditions as these are integral to the enrollment process.

3  TRIP ENROLLMENT PROCEDURE

Please go to the *enrollment form, where you have the option of an online fillable form, or a version you can print, fill and mail to us at P. O Box 2434, Eagle, Idaho 83616. Please enclose your $300 deposit check made payable to 'Travel Images' if you choose not to pay your deposit online. Printed enrollment forms can be returned in any format you wish, but do please remember to sign it first. Digital signatures are acceptable for the online version.  *Adobe Reader may be required

Then please send an email to let me know your Enrollment Form is on its way and mention the method of payment you’ve chosen.

In your e-mail please include your full address, phone number and room preference, i.e. single, double, twin and/or would like me to match you with a roommate. No guarantees on the latter, but I do get asked by a handful of clients.

Please note that places are reserved on a first come-first served basis with a $300 deposit, but on some occasions I will hold a space for 72 hours if you want to mull your decision over for a while longer and not risk losing a spot.

4  DEPOSITS
  The deposit for any scheduled trip, except customized 'By Request' trips, is $300 per person.
  If you prefer to pay your $300 deposit online, you may do so here or I take credit and debit cards over the phone or via e-mail. Checks are also accepted.
  There are no credit or debit card fees applied to deposits, only to final balances and 'By Request' trips.

5  WHEN IT'S LESS THAN 60 DAYS BEFORE THE TRIP YOU ARE JOINING STARTS
  If joining a trip during this time period, full payment becomes due at that moment in time.
  Do please read the section below in regard to fees applied to credit and debit card payments. No fees are applied to checks.

6  RECEIPTS AND FINAL PAYMENT
  Once I receive your signed Enrollment Form along with your deposit, I will email a Statement to you reflecting receipt of your deposit and the balance due for your trip.
  Payment in full is due no later than 60 days prior to Day 1 of the trip.
  Although I accept credit and debit cards for deposits without an additional charge, a 3% card processing fee needs to be added to all final balance amounts made by credit card or debit cards used as a credit card. For none USA residents, the fee is 4% as a 'Cross Border Fee' is levied by the credit card companies.
  As with deposits, checks are accepted for final payments.

7  COMMUNICATIONS
  The main trip update is e-mailed out in the 14 to 30 day pre trip window, along with lots of other useful information including the trip guidelines, accommodation list and more.
  Email is undoubtedly the best way to get in touch with me as I'm often traveling with my groups. You can also leave a message on the toll-free number at 1-800-325-8320.

8  A SPECIAL NOTE ABOUT WHEN TO PURCHASE YOUR AIRFARE
  I strongly suggest that you do not purchase your airline ticket until (in my sole discretion) I have the minimum group size, and have confirmed to you via e-mail that the trip is a 'go'.
  If the group size is 3 or less a small group supplement may be applicable. Each trip is assessed on a case by case basis in that regard. There is no small group supplement for groups of 4 or more unless otherwise stated, such as for my trips to South America, Manitoba, India, Africa and Japan.

9  TRAVEL TO THE GATEWAY AIRPORT
  It is recommended that clients arrive a day early to be fresh for the trip, and to also counteract possible flight delays.
  Early arrival also enables you to explore the gateway city should you wish to do so.
  When booking flights, add a day for overnight travel or two days if also crossing the Pacific Ocean/International Dateline.
  The last day of the trip is the date you should arrange your flight home unless you plan to stay on.

10  DREAMS DO COME TRUE
After all the preliminaries have been completed comes the trip you’ve always dreamed of.  Rest assured I’ll work hard to make your dream come true!

11  AFTER THE TRIP
  I'm confident you’ll return home a better photographer with your own memorable images and experiences to match.
  You'll receive field notes from the trip along with a disc of client images, yourself included of course, and the trip questionnaire.

A note in regard to health . . .
  Please note that it is important that each participant has at least sufficient mobility for the trip they are enrolling for, which ensures that the photography opportunities of both yourself and the other participants are not affected.
  All our photo tours are mildly to moderately strenuous unless otherwise noted on the brochure page.

Are you traveling with us internationally? . . .
  If you intend traveling internationally with Travel Images, do make sure that your passport is up to date. Some countries also insist that a passport not expire right after a trip either, so do make sure that yours has at least a 3 month cushion after the trip ends.
  Some countries require a visa too, so go to these passport and visa sites to find the information relevant to the country you intend visiting with Travel Images.  Type 'GUEST' at the bottom of each brief submission form.

PRICING OF TRIPS: All pricing is in US dollars and is based on exchange rates, room rates and other prices quoted to us at the time of scheduling. Since many of our trips are planned and offered more than a year in advance, currency fluctuations and changes in pricing may cause increases in fees that are sometimes unavoidable. In such cases, we reserve the right to amend prices without prior notice. If increases become necessary, we will inform you as soon as possible, but an increase in prices shall not be deemed sufficient grounds for refunds other than as determined by the Cancellation Policy.

Accommodation costs are based on double occupancy. Single rooms are an additional cost, as per the online brochure. If requested, we’ll do our best to arrange a roommate, but it cannot be guaranteed. If no one is available with whom you can share, or if you desire a single room, we must ask that you pay the single room supplement.

Non-Photographers are welcome on our trips and receive a 10% discount off of the base photo tour fee. Single supplements and small group supplements, if necessary, still apply, but the 10% discount is not applicable to such fees,

INCLUDED IN THE TRIP COST: The following items are included in the trip cost: photography instruction throughout the trip by John, accommodations, all breakfasts, lunch on day one, dinner on the last day, on-vehicle snacks and bottled water, ground transportation as per the ‘Transportation’ details below, entrance fees for sites and activities listed in the online trip brochure.
There are additional inclusions on trips such as the Galapagos Islands, Patagonia and the Polar Bears of Manitoba photo tours. For
further details see the online brochure for those trips.

NOT INCLUDED IN THE TRIP COST: The following items are not included in the trip price, and all costs for these items are the responsibility of each participant: Airfare;  travel costs between your home and the gateway airport and return;  any transportation or travel costs incurred prior to or after the tour days;  pre-tour and/or post-tour accommodation expenses;  lunches and dinners;  alcoholic beverages;  entrance fees or costs related to optional sites or activities not included in the itinerary or a part of the trip; excess baggage charges;  medical costs;  personal items;  incidental charges incurred at our accommodations such as internet access charges, phone calls or laundry;  baggage or travel insurance;  passport or visa expenses;  departure taxes;  and any credit or debit card processing fee as referenced below in ‘Payments’.

PAYMENTS: All payments shall be made in U.S. Dollars. Reservation deposits of $300.00 shall be submitted along with your Enrollment Form. Reservation deposits may be made by personal check or credit or debit card. The remainder of the tour fee, including any single supplements,  are due 60-days prior to the start date of the tour. These final payments may be made by personal check or credit card, but if made by credit or debit card, whether self-initiated online or processed by us, you agree to pay a credit or debit card processing fee equal to 3% of the payment. For none USA residents, the fee is 4% as a 'Cross Border Fee' is levied by the credit card companies.

CANCELLATION POLICY: If you must withdraw from a photo tour more than 90 days before the starting date (Day 1 of the photo tour), your deposit, less any deposits made on your behalf with other suppliers, government agencies, etc., and less $25 administration costs will be refunded to you by check. Deposits placed with such suppliers, etc. will be refunded when remitted to us. However, if any such deposits are non-refundable, those will be forfeited by you too.

If you must withdraw 61 to 90 days before the starting date, your entire reservation deposit of $300 will be forfeited, and any additional amounts you deposited will be refunded to you by check less any deposits we have made on your behalf with other suppliers, government agencies, etc. Deposits placed with such suppliers, etc. will be refunded when remitted to us. However, if any such deposits are non-refundable, those will be forfeited by you too.

If you must withdraw 60 to 31 days before the starting date, 50% of your total fee (deposit plus final payment) will be forfeited and the remaining 50% will be refunded to you by check less any deposits we have made on your behalf with other suppliers, government agencies, etc. Deposits placed with such suppliers, etc. will be refunded when remitted to us. However, if any such deposits are non-refundable, those will be forfeited by you too.

If you must withdraw 30 days or less before the starting date, 100% of your total fee (deposit plus final payment) will be forfeited.

We reserve the right to cancel any photo tour for any reason. If we cancel a tour, we will refund all payments made by you. In the event we cancel a tour, Travel Images is not responsible for any expenses incurred by you, including but not limited to airfare, travel insurance, etc. and we strongly urge you to obtain travel insurance. Consult your travel agent or online providers such as www.travelinsured.com, www.travelguard.com or www.travelex-insurance.com. There is also a good travel insurance comparison sites to be found here and here.

You must notify us in writing of your withdrawal and cancellation. Due to our travel schedule, all notifications must be made via email. The date of our receipt of your email notification will be deemed the date you gave your notice to cancel.

LATE ARRIVAL: If for any reason a participant arrives at the gateway city after the ‘arrival window’ or 'arrive by' time listed on the brochure page, it will be your responsibility to catch up with the group. Inasmuch as it would be unfair to other participants to delay their photo tour, you will be expected to arrange and pay for your own transportation to the next accommodation location for that evening, or another such destination as may be agreed to with the photo tour leader. To avoid missing part of the trip participants are urged to arrive a day early.

ACCOMMODATIONS: The cost of accommodations is included in the tour fee starting with Day 1 of the itinerary and ending with the last night of the itinerary, subject to single supplements when applicable. Each room comes with private bathroom facilities unless otherwise stated. Accommodations are chosen for their uniqueness, geographic location and value for your money. The goal is to provide all three qualities whenever possible. At times it is necessary to change accommodations from those originally planned, and when alternates are necessary, we’ll endeavor to maintain our standards. All rooms are ‘non-smoking,’ and smokers are asked to abide by accommodation rules and local ordinances.

As a courtesy and upon your written request, we will book your pre-trip or post-trip accommodations, provided you use the same accommodations where the tour will start and/or end. You will be responsible for paying all related charges directly to the accommodations operator, including any deposits, if required. Pre-trip and post-trip accommodations, including any related incidentals are not included in the tour price.

MEALS: The cost of all breakfasts, lunch on day one, dinner on the last night of the trip, van snacks, and bottled water is included in the trip price, but not other lunches and dinners unless otherwise stated as in the case of the Galápagos Islands trip, which is inclusive of all meals on land and sea.

SMOKING: In addition to the above conditions listed in ‘Accommodations’, smoking is not permitted at meals, on the van or other shared transportation. Smoking is permitted at photo stops where local ordinances permit and only if other photographers and the photography itself are unaffected.

TRANSPORTATION: Transport is included in the tour price from Day 1 of the trip through to your return to the airport on the last day of the tour. If you arrive a day or more before the trip starts or depart after the final day of the tour, your transport from or to the airport is not included. We use 12 to 17 passenger vans for a full group of 7, and add a luggage trailer whenever needed, subject to availability. This size vehicle permits access to less accessible spots.

LUGGAGE: Travel Images asks that tour participants limit their luggage to the equivalent of one suitcase, one flight bag, one camera bag and a tripod. Adhering to this guideline will ensure adequate space and comfort for all travelers. All personal luggage is the responsibility of the owner. We will handle your heavy luggage throughout the trip.

INOCULATIONS AND OTHER MEDICAL MATTERS: You are personally responsible for maintaining and keeping current your inoculations, prescriptions, and dietary regime. Specific information about foreign locations is available by email, fax, and internet from the Center for Disease Control.

GPS DEVICES: A number of photography tour entities have banned GPS devices on the grounds that a client could use or sell the information gathered for commercial gain. Travel Images' stance is to permit them for use in identifying image locations only, but to protect the uniqueness of Travel Images' itineraries they are not to be used for commercial purposes, i.e. the compiling of similar or competing itineraries. Other than that, bring 'em along!

YOUR RESPONSIBILITY AND RELEASE OF LIABILITY: You understand and agree that by enrolling and participating in this photo tour you are accepting certain risks. Your signature on the enrollment form shall serve as a release of our liability and a complete assumption of all risks by you and your heirs, administrators, executors, successors, and assigns for you, all members of your family and any persons accompanying you. Further, your signature on the Enrollment Form indicates that you are aware that travel, wherever it may be and by whatever means, involves some inherent risk of injury, illness, death, loss, or damage to personal property, which may be caused by forces of nature, negligence or actions of others, or other agencies. In consideration of, and as part of the payment for, your participation in our photo tour, you are voluntarily releasing John T. Baker Photographer LLC, doing business as Travel Images and all those involved with it, including but not limited to, all of its agents, leaders, guides and suppliers, from any and all liabilities, because you are assuming the risks yourself.

You are voluntarily traveling to areas which may be remote or foreign, mountainous or wilderness, and which may not be operated nor maintained to the standards to which you are accustomed. These factors, among others, therefore may involve certain additional risks, dangers, and inconveniences. These include, but are not limited to, forces of nature, terrorism, civil unrest, wild animals, the manner of hotels and other accommodations, and various means of conveyance, including but not limited to airplanes, vehicles, taxis, boats, roads, walkways and trails.

You understand and agree that medical services or facilities may not be readily available during all or part of the trip, and that this includes emergency medical care, presence of physicians, and adequate medication. We assume no responsibility for medical care or any special dietary requirements you may have. In addition, your signature on the Enrollment Form signifies that you release, hold harmless and will defend John T. Baker Photographer LLC, doing business as Travel Images, as well as its officers, agents, guides, leaders, sponsors, and associates, from any and all liability, actions, causes of action, claims, debts, and demands of every kind and nature whatsoever which you now have or which may arise in connection with your participation in any activities arranged or conducted by them including, without limitation, all liability, actions, causes of action, claims, debts, and demands related to the negligence of said persons.

You understand and agree that travel with a group invariably involves compromise to accommodate the diverse desires, travel goals, personalities, and physical abilities of group members. You further understand and agree that while itineraries are carefully planned, they are not a guaranteed schedule of activities, events, or participation. However, we will do our utmost to deliver the itinerary outlined in the trip brochure. However, participants must allow for flexibility and changes deemed necessary by the program leader as there may be situations beyond our reasonable control due to geographic, climatic, physical, or governmental restrictions that will cause further changes in timing, locations, and activities. You understand and agree that there are no discounts or refunds for activities curtailed or otherwise affected by such circumstances.

You have assumed the responsibility to select an activity appropriate to your physical abilities and interests. You are personally responsible for being in sufficiently good health to undertake the activity. By forwarding a signed Enrollment Form and deposit, you certify that you do not knowingly have any physical or other conditions or disability that would create risk for you or other participants. We reserve the right to request a doctor’s statement of good health.

You will be responsible for studying all pre-departure information; for bringing all detailed and appropriate equipment and clothing; for conforming to standards of personal hygiene; and, for acting in a manner considerate of fellow group members and the locations and people visited. You understand that we reserve the right to cancel any activity and to accept or decline any person as a member of any photo tour or individual activity. The leader’s judgment shall provide the ultimate determination of an individual’s ability to participate in or to continue to participate in, any activity or program. Your signature on the Enrollment Form is an acknowledgment of your understanding of your responsibilities and your consent and acceptance of them.

INCORPORATION: These Terms and Conditions are referenced in and made a part of the enrollment form, which all participants must sign and return with their deposit in order to be accepted as a participant.

Why is the fee levied by credit card companies being passed on to you?
  We could raise our rates to cover the fee, but that would be unfair on those that prefer to pay by check.  This way, only those that choose to pay electronically are charged the fee.
